ReNEW mobility funding filing system

The purpose of handling the personal information

We process personal data for processing funding applications addressed to ReNEW Hub (Reimagining Norden in an Evolving World: An Excellence Hub in Research, Education and Public Outreach, http://www.helsinki.fi/renew ) that is coordinated by us. Personal data is needed for the purpose of processing funding applications, deciding on recipients, payoff of grants, communication related to funding, statistics and reporting.

Personal data is processed on the basis of the consent of the data subject. Article 6 (1) of Data Protection Act.

Contents of register

We do not process confidential personal information.

Regular data sources

Personal data is received from the applicants.

Regular destinations of disclosed data

We may transfer your data to authorised, named persons in the partner universities of ReNEW Hub. We ensure that partners have committed to comply with privacy laws and regulations.

Data transfer outside EU and ETA

The data is not transferred outside the EU or EEA.

Protection of the register

We process personal data securely and taking into account the applicable legislation. We have carefully assessed the risks that may be associated with the processing personal data and taken the necessary measures to manage these risks.

Only authorised, named persons have access to the application filing system and accessing it requires a user identification and password. We use third-party applications to collect the information and store it. The information is collected in the service provider's database (e-lomake.fi) and during application processing the applications are stored on servers maintained by an external service provider (CSC – It Center for Science LTD.). The service provider is responsible for protecting the devices.

The data is stored for the funding term of ReNEW Hub (2018-2023). The permanent data stored as appendices to the steering groups material from meetings includes the applicant’s name, the purpose for the grant and the sum applied for/granted.

Right of access

You have the right to know whether we are processing your personal data and which data we are processing.

Correction of the data and bringing it into effect

You have the right to request the rectification of any inaccurate data.

Other rights conserning the personal information handling

You can withdraw any consent you've given. The withdrawal of consent does not affect the legality of actions made on the basis of the consent before the withdrawal.

You have the right to request us to remove your personal data from our systems. We will comply with the request if we have no justified reason to rerain from removing the data.
