Description
In the research project "Closing and opening doors: Universities restructuring their language training programs", personal data is processed. The purpose of this privacy notice is to provide information about the personal data processed, where the personal data originates and how they are used in the investigation. At the end of the report, we will explain in more detail what rights you have in relation to your personal data.
Participation in the study and the provision of personal data is voluntary.
The research is conducted in co-operation between the University of Helsinki, Ghent University and Vrije University Brussel. University of Helsinki is responsible for the data collection and storage. The analysis of data and reporting on the results is carried out in collaboration between the researchers of these universities.
Personal data is processed as part of a research project and its scientific publications at the University of Helsinki. The researcher is responsible for the day-to-day management of the material, such as minimising the data, data accuracy, determining the retention periods and using appropriate systems and applications. The risks related to the processing are assessed in cooperation with the researcher’s supervisor. The University guides and supports the processing of personal data from planning to publishing the final work and provides the necessary infrastructure and tools for carrying out research.
The questionnaire is GDPR-compliant and in accordance with EU data protection directives.

The purpose of handling the personal information
No direct personal data is collected from the respondents. The survey is anonymous, and the respondents of the questionnaire cannot be identified. It is not possible for us to link the responses to respondents. The data provided by the respondents will be additionally anonymised for any information given in the questionnaire which would implicitly identify the respondent, e.g. in contexts of small disciplines or departments. When reporting on the results, data will be anonymised so that responses cannot be linked to any individuals.
At the end of the questionnaire, the respondents may voluntarily provide their contact details for any further information or if they are available for an in-depth interview following the data collection with this questionnaire. Also this data will be anonymized when analysing and reporting on the results.

The collected data is obtained from a digital questionnaire.
Sensitive personal data is not processed in the research.

Personal data is processed on the basis of the following Article 6(1) of the GDPR:

The subject has the right to withdraw his or her consent at any time. The withdrawal of consent shall not affect the lawfulness of the processing carried out before the withdrawal.

Data recipients
The data collected with the digital questionnaire is transferred to the representatives of the following collaborative universities: Ghent University (Universiteit Gent) and Vrije University Brussel (Vrije Universiteit Brussel).
Recipients known at the time of drawing up the Privacy Notice: Ulrike Vogl (Ghent University) and Philipp Krämer (Vrije University Brussel). They are partners of the research project and they will be disclosed all the data collected with the digital questionnaire. Other researchers of the partner universities Helsinki, Ghent and Brussel or of other universities may join the project later.
Data transfer outside EU and ETA
Data is not transferred outside the European Economic Area, it is only processed within the EU.
The transfer of data is based on the European Commission’s adequacy decision or standard contractual clauses (https://ec.europa.eu/info/law/law-topic/data-protection/international-dimension-data-protection/standard-contractual-clauses-scc_en), whereby recipients of personal data agree to comply with the data protection requirements outlined in the clauses.
Protection of the register
The personal data contained in the research material is processed and stored in a secure manner so that only persons who need them can access the data.
Data processed in information systems are protected, i.e., in the following ways: username and password.

Duration of processing of your personal data
During the study:
The exact duration of the research project is not known, but we estimate that the project will end in 2030 at the latest.
After the end of the research:
X The research data will be erased
No data will be stored or made available after the end of the project.
The retention of research data is based on Article 5(1)(b) and (e) GDPR. A new data protection notice will be sent to the research subjects about the new research use of the research data, unless the data controller is no longer able to identify the data subjects from the research data.
The research subjects cannot be notified on a new research if the provision of this information would be impossible or unduly burdensome, or if it would significantly impede or hinder the achievement of the research purposes (Article 14(5)(b) of the GDPR).

In order to exercise the rights listed below, please contact the contact person for the research in this Privacy Notice and tell us what rights you wish to exercise.
Your rights as a data subject
We will try to exercise your rights whenever possible. The suitability of your rights is affected, for example, by the legal basis on which your personal data is processed. We always assess the validity of the rights on a case-by-case basis. The contact person for the research will help you to implement your rights and will tell you about their applicability.
Your rights under the GDPR are:
• to know if your data is being processed,
• to access your own data,
• to correct your incorrect and outdated data,
• to delete your data and be forgotten,
• to restrict the processing of your personal data,
• to transfer your data from one controller to another,
• to object to the processing of your data, and
• to not to be subject to automated decision-making.
In scientific research, there may be a deviation from a right, for example, if the execution of your right would endanger the entire research. For example, often it may not be possible to delete all of your data afterwards if they are already collected and included in the research, but this does not affect your right to suspend participation in the research.

Correction of the data and bringing it into effect
Right to appeal
If you feel that your personal data has been processed incorrectly, you can always contact the data protection officer of the data controller, whose contact details can be found in section 4 of this Privacy Notice.
You also have the right to lodge a complaint with the supervisory authority, i.e. the Office of the Data Protection Ombudsman, if you consider that the processing of your personal data has been in breach of the applicable data protection legislation.
