4. The purpose of the register

The purpose of the register is to maintain a list of SUDDEN Forum members, their names and email addresses and use the data to inform the members of the upcoming events that SUDDEN Forum is organizing and disseminate information on other important events or publications that might be of interest to the Forum members.

5. Content of the register

The register includes only basic contact details: names and email addresses of the members of SUDDEN Forum. Additionally, data on the affiliation of the members are stored in the register if the member has given the information in the registration form (optional field). The register does not include any other detailed personal data such as date of birth or phone numbers.

6. Regular sources of information

Personal data: name, email address and affiliation (optional), is collected from the data subjects themselves in the registration form that they fill in while registering to SUDDEN Forum.

7. Regular destinations and transfer of data

The email addresses from the register are used to create an email list for SUDDEN Forum members. The email list is stored in majordomo mailing list software that can be accessed only by specified persons in charge of the SUDDEN Forum register. The personal data is not transferred outside SUDDEN Forum unless specifically agreed upon the transfer with the data subject.The personal data will not be transferred outside the EU or EEA and will not be used for commercial purposes.

8. The principles for security of the data file and register

The up-to-date register is stored in elomake software and the email list in majordomo mailing list software. The register and the mailing list can be accessed only by the specified persons in charge of the SUDDEN Forum register.

9. Data subject’s rights

An individual being a data subject is entitled to have access to the registration data concerning him or her in the register and at any time request that personal data be erased by contacting the person in charge of the SUDDEN Forum register.
